Who we are

What we collect

We only collect what we need in order to reply to you and to look after your property.

• Details you give us. Your name, email address, telephone number, property address, and anything you choose to write in a message or send over WhatsApp.
• Service records. Notes, quotes, invoices, and correspondence relating to work we carry out for you.

This website does not use cookies, analytics, advertising pixels, or any other tracking. Nothing you do on these pages is recorded or profiled.

Why we use it, and our lawful basis

• To answer your enquiry. Our legitimate interest in responding to someone who has contacted us.
• To provide our services. Performance of our contract with you.
• To meet legal duties. Compliance with a legal obligation, such as keeping accounting and health-and-safety records.

We do not sell your information, and we do not use it for automated decision-making or profiling.

How the contact form works

The form on our contact page does not submit to a server. It opens WhatsApp on your own device with a message drafted from what you typed, and you choose whether to send it. If you send it, the message is handled by WhatsApp under their privacy policy as well as ours. If you would rather not use WhatsApp, email or telephone us instead.

Who we share it with

We share personal information only where it is necessary: with the tradespeople and contractors carrying out work on your property, with our accountants and professional advisers, and with authorities where the law requires it. Anyone acting on our behalf is bound to keep your information confidential.

How long we keep it

Enquiries that do not become work are deleted within twelve months. Records relating to services we have provided are kept for seven years, which is the period required for tax and accounting purposes, and then deleted.

Where it is held

Your information is stored on systems within the UK or the European Economic Area. Where a provider we use transfers data outside that area, we rely on the safeguards permitted under UK data protection law.

Your rights

Under UK GDPR you have the right to:

• ask for a copy of the personal information we hold about you;
• have inaccurate information corrected;
• ask us to delete information we no longer need;
• object to, or ask us to restrict, how we use it;
• ask us to transfer it to another provider; and
• withdraw consent at any time, where consent is the basis we rely on.

Write to info@mhbpropertysolutions.co.uk and we will respond within one month. There is no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top.
